Server down, how to communicate with your clients?
Last year our server went down and we lost contact with a lot of you, it will take some time to fix it according to the provider, but it is really frustrating not being able to reach your visitors, your clients or your audience.
There are multiple ways of contacting your audience, but in most cases they do not reach you in the same way, some only search in Google, others use referral sites or social media only. So how do you inform them you are still in business but at this moment they can not use your webshop or site.
A disaster is always a disaster but if you plan in advance what to do in case of bad luck it helps you to get back on your feet faster. Some thoughts for your plan:
–Agree with the provider to inform you pro-active about any issue that will endanger your operations, like in case the server with your website is down, they should know it right away while you are not supposed to watch your own website the whole day long, you should attend your own customers!
–Prepare a small communication note with alternative contact details and use social media and any referral websites you use to bring this message to your clients
–Repeat the communication, you can use tools like hootsuite to schedule postings, so at the same time you can communicate to your audience and keep on dealing with your clients
–If you start to collect the email addresses from your clients, next to a great marketing tool, you can use this also to communicate to them directly about what happened and that you are still in business
–Read again the contract with your provider about any rights you have on compensation.

Answer: Hi, the best thing is to start to decide on what kind of clients you want to service. Where are they located, what kind of hair they are interested in and how much are they willing or can the afford to purchase hair.
How to deliver
The hair extensions can be shipped by regular mail or by using a courier firm. Regular mail is cheaper on short distance, but make sure you sent by registered post. Although this is more expensive, it will ensure you the hair extensions will arrive at your client address and if something goes wrong you will be able to investigate where it went wrong.
If you sell abroad, in most cases shipment by courier is much faster. You should be able to get discount on your shipments, in most cases depending on the estimated number of shipments you can get a discount on the regular price.
Check if you ship to other countries, especially when these countries are located outside your economic zone what the customs regulation is. If on entrance a fee is applicable, make sure you and the client have agreed upfront who will pay these fees.
As bad things happen, it is possible your shipment will not arrive the final destination, for example when there is a misunderstanding on the address, or your client is not always at home. For these cases make sure the phone number of your client is visible on the parcel. In this case the local mail or courier can more easier contact your client to ensure proper delivery.

A returning question on our email consult is what is the level of inventory I should keep? Of course you do not want to put all your money in your stock. No problem if you have a high turnover rate (for example what you purchased yesterday is sold today) but it can kill your business and passion, if your money is piled up in beautiful hair extensions, but nobody is buying. You do not want to feel like Scrooge McDuck in a warehouse full of hair, do you?
How to calculate your minimum level of stock
To calculate how much inventory you need, you have to analyze a couple of things. First of all how are the delivery conditions of your supplier? In case they offer next day delivery, you can afford to keep a low inventory. But do they always have all the required textures or inches available? If this is not the case you could decide to find a second supplier or to keep extra inventory for these specific extensions.
If your supplier needs more days or even weeks before they deliver, you need to have some stock in the house in case your clients want to purchase the hair. But how much? For this you need to develop a crystal ball over time, you need to predict future orders! Easier said than done? Not easy but it can be done!
